Shadow IT

Shadow IT is tools and apps that teams use or build without IT knowing. Why it exists and how to give it a proper place.

What is shadow IT?

Shadow IT is software used in a company without IT having introduced it or knowing about it: a shared spreadsheet as an inventory list, a cloud service on a personal account, a home-made script. Today it also includes apps that teams generate with AI tools in a few minutes.

Shadow IT almost always starts with a real need. A team has a problem, the official solution is missing or takes too long, so it helps itself. The result is often useful. The hard part is the questions around it: who has access to the data, who maintains the tool, and what happens when the person who built it leaves?

Shadow IT at Openbase.one

Openbase.one does not bet on bans. Teams should be allowed to build, in a place made for running software. You describe an app in your own words, a build agent builds it, and it runs in your company's workspace:

  • with company sign-in and permissions for every view,
  • with every version checked with test personas before it goes live,
  • isolated without network access,
  • with an audit log of who changed what,
  • with its code as a git repository in the workspace and exportable data.

That turns one team's tool into an app IT knows about and can stand behind.

Describe your first app and watch it go live, checked.
